Auto Notification:
These are the system-generated messages that are triggered at different events like when a learner gets enrolled in a module, or an event, when a reward is redeemed, etc. You can edit the message that is sent to the learner from the Action column in the grid.
Editing Auto Notification
- You can update the name of the auto notification that appears on the grid.
- You can update the Subject of the Notification.
- New CC & BCC emails can be added to the notification, this applies to the Email notifications.
- Message: You can update the matter that is sent to the learner. The highlighted text is Dynamic text which will be replaced with real information at the time of sending the notification. The Full name of the Learner, the Learning plan, and module details are all data that are currently saved.
Available placeholders can be accessed from the placeholder dropdown inside the message editor area. The placeholder values may vary based on the type of Auto notification. - You can enable or disable the Email notification checkbox if you want to send an Email Notification or not.
- Some notifications also have the option to send a mobile notification.

Triggered Messages
are the messages that are created by you for different events like Module enrolment, Module Completion/Incompletion, Gamification events, etc.
About Grid page
You can create, edit, or delete triggered messages from the actions column.
Add New: Go to creating a new triggered message.
Refresh: Refresh the grid.
Show/Hide columns: Customize which grid columns are displayed. Your preferences will be saved for future visits to this page.
Grid columns:
Message: Name of the message.
Condition: Trigger condition of the message.
Learner of: Trigger criteria like Learner of a Learning plan/ Module/ Profile.
Last Modified On: Last date and time this trigger message was modified.
Email: Send the message as an Email notification.
Mobile: Send the message as a Mobile notification.
Splash: Show the message as a splash screen when the learner logs in to their account.
Actions:
- Edit: Edit a triggered message.
- Delete: Delete the triggered message if no longer required.
- Enable / Disable: Disabled messages do not create new emails for learners.
How to create a Triggered Message?
- Go to the Triggered Messages link located inside the Communications menu. Click on the Add New button.
- The "Send on" options are the different events that you can set up for sending notifications. Every Trigger will lead to a different set of data. First, we need to Add a Name & Subject for the notification. You can add multiple CC emails in the CC To input box. Set up send on Criteria as you want.
- Add a message by writing in the rich text editor. You can add Dynamic placeholders by selecting from the dropdown above the message. Placeholder options may vary based on the selected send-on criteria. You can also add an image from the media gallery or a video link in the message.
- Enable Email to send via email, enable Mobile notification to send via mobile.
- The splash screen is like a popup window with the contents set in the message. You can click on the Preview icon to find what the splash screen will look like to the learner.
- Click on Save, you have created your first Triggered message.

Instant Messages
This is an inbox system that ensures that you can maintain effective and organized communication with all the learners whether individually or in groups.
Learners will be able to see your messages in their messaging section and give feedback to you and you will be notified about any new messages from the bell icon up top or in the Messaging widget placed right in your dashboard.
Here is how you can use it:
- Go to the Instant Message link located under the Communications tab.
- You can either send the message by Learners or by Learner Profiles.
By Learner: Start writing the names and existing users with matching names will start appearing in the dropdown. - By Profile: Select from the existing list of Profiles.
- Our message editor is designed to be easy to use and lets you create messages just the way you want them. There are a lot of formatting options to choose from, like bold text, italicize, add headings, change font styles, add tables, links, etc.
- Then click on Send. To check the sent messages go to inbox and it will show the list of learners who were recently sent messages. Click on any Learner it will show the formatted message, you just sent.
- Below the message, there is an input box to directly send your message, this lets you reply to your learners straightaway!
