Triggered Messages
are the messages that are created by you for different events like Module enrolment, Module Completion/Incompletion, Gamification events, etc.
About Grid page
You can create, edit, or delete triggered messages from the actions column.
Add New: Go to creating a new triggered message.
Refresh: Refresh the grid.
Show/Hide columns: Customize which grid columns are displayed. Your preferences will be saved for future visits to this page.
Grid columns:
Message: Name of the message.
Condition: Trigger condition of the message.
Learner of: Trigger criteria like Learner of a Learning plan/ Module/ Profile.
Last Modified On: Last date and time this trigger message was modified.
Email: Send the message as an Email notification.
Mobile: Send the message as a Mobile notification.
Splash: Show the message as a splash screen when the learner logs in to their account.
Actions:
- Edit: Edit a triggered message.
- Delete: Delete the triggered message if no longer required.
- Enable / Disable: Disabled messages do not create new emails for learners.
Different types of Triggers explained:
- Particular time
When you want to schedule the notification for a particular day and time, this trigger will come in handy. Select the date and time then select whether you want to send by module(s) or by profile(s).
By Module: All the learners who are assigned to the mentioned Module(s).
By Profile: All the learners who are assigned in the mentioned Learning profile(s). - Module Enrolment
Send a message when a Module is assigned to a learner.
Module enrolment event is also present in the Auto notifications. In such cases Triggered message will take priority and notification will only be created from the triggered message and not from Auto notification. - Module Completion
Send a message when a Learner completes a Module. Set the module(s) in the dropdown provided. - Module Marks
Send a message when a module is completed with specific mark criteria. - Module Incompletion
Send a reminder to the learner about their incomplete module. You can set after how many days of enrolment this notification is sent.
You can enable repeating the notification for a maximum number of times when the module remains incomplete by the learner. After sending the mail the maximum number of times, the scheduler will stop creating more notifications. - Badge allotment
Send a congratulatory message on the achievement of a particular badge. You need to select the badges for which you want to send this notification. - Points allotment
Send a congratulatory message on the achievement of a Point milestone. You need to select the Learning plan(s)/Module(s) for which you want to set this trigger message. When a learner achieves some points on the Learning or module set, they will be sent this notification. The points earned in the learning plan and Module are calculated separately. - Leaderboard Position
Send a message on achieving top ranks in a Leaderboard. Leaderboards can be created from the Leaderboard link in the Gamification section. This notification will be sent to the top rankers every day till this trigger message stays enabled.
How to create a Triggered Message?
- Go to the Triggered Messages link located inside the Communications menu. Click on the Add New button.
- The "Send on" options are the different events that you can set up for sending notifications. Every Trigger will lead to a different set of data. First, we need to Add a Name & Subject for the notification. You can add multiple CC emails in the CC To input box. Set up Send on Criteria as you want.
- Add a message by writing in the rich text editor. You can add Dynamic placeholders by selecting from the dropdown above the message. Placeholder options may vary based on the selected Send-on criteria. You can also add an image from the media gallery or a video link in the message.
- Enable Email to send via email, enable Mobile notification to send via mobile. You can preview the email by click on the magnifying icon placed along the Email checkbox.
- The splash screen is like a popup window with the contents set in the message. You can click on the Preview icon to find what the splash screen will look like to the learner.
- Click on Save, you have created your first Triggered message.
How to view the status of a notification that gets created from the Triggered Message?
All the notifications that have been sent or are pending to be sent are shown in the Message Logs link which you can locate by expanding the logs menu in the left menu and clicking on the Message Logs link.
Here you also have the control to delete some of the notifications by selecting the rows you want to delete and clicking on the delete button that appears on the top.
