Auto Notification:

These are the system-generated messages that are triggered at different events like when a learner gets enrolled in a module, or an event, when a reward is redeemed, etc. You can edit the message that is sent to the learner from the Action column in the grid.


How to view the status of a notification that gets created from the Auto notification?

All the notifications that have been sent or are pending to be sent are shown in the Message Logs link which you can locate by expanding the logs menu in the left menu and clicking on the Message Logs link.

Here you also have the control to delete some of the notifications by selecting the rows you want to delete and clicking on the delete button that appears on the top.


Editing Auto Notification

  1. You can update the name of the auto notification that appears on the grid.
  2. You can update the Subject of the Notification.
  3. New CC & BCC emails can be added to the notification, this applies to the Email notifications.
  4. Message: You can update the matter that is sent to the learner. The highlighted text is Dynamic text which will be replaced with real information at the time of sending the notification. The Full name of the Learner, the Learning plan, and module details are all data that are currently saved.
    Available placeholders can be accessed from the placeholder dropdown inside the message editor area. The placeholder values may vary based on the type of Auto notification.
  5. You can enable or disable the Email notification checkbox if you want to send an Email Notification or not.
  6. Some notifications also have the option to send a mobile notification.


All types of Communication Message Explained:

  1. Learning Plan Enrolment
    When a Learning plan is launched according to the start data set. All the users in the Learning plan will be sent this notification.
  2. File Rejected
    This mail is actually for the task module if you have a task with enabled file approval meaning you want to approve or reject every file uploaded by the learner. Then this notification is sent only when the file has been rejected.
  3. Reward Redeem
    When a learner redeems a reward by their points, this notification is created to be sent.
  4. Event Enrolment
    Whenever there is an event in the learning plan, this notification is sent when the learner gets enrolled generally when the learning plan gets launched.
  5. Module enrolment
    This notification reminds the learners if they are enrolled in a module that was delayed assigned meaning when a certain condition is met or directly assigned to the learners without the involvement of a learning plan.
  6. New Manager Signup
    On creating a new manager for your company from the Teams section, a notification is sent on the email saved in the Create Manager form informing them about their company, roles, and criteria.
  7. Event Nominee Rejection
    This notification is specifically for Event type modules. When an event's nomination type is "Self Nomination," which means the learner can nominate/apply for participation themselves, the admin needs to approve or reject their participation. When a nominee is rejected, they will receive an "Event Nominee Rejection" email notification.
  8. Welcome Email
    When you create a new learner, this notification is created for the email saved in the form. When you import learners from an Excel sheet, you have the option whether you want to send an invite to the learner or not.
    Sending the welcome email on demand
    If you intend to send the welcome email later someday like if you want to create some learning plans and modules and then send a welcome message, you can do that by clicking on the stats button given in the actions column.

    This will open a popup that shows how many learners have been sent this invitation mail, how many are left etc.

    You can send more invitation emails by selecting the criteria and filling in the profile or learner's name. You have 3 options for sending emails - Sending emails by profile(s) or by Learner(s) or just sending the emails to all the remaining learners that are left.

    Then click on Send, and your invite emails will be created and sent soon after some time. You can go to message logs to monitor the status of the mail.
